Fairfax Choral Society (“FCS,” “we,” “us,” or “our”) operates fairfaxchoralsociety.org. This Privacy Policy explains how we handle personal information when you visit our website, contact us, participate in our programs, purchase tickets, or make a donation.

Information We Collect

We collect information you provide, such as your name, contact details, messages, and information needed for auditions, registrations, participation, ticket purchases, and donations. Youth-program information may include a participant’s age or date of birth, school or grade, musical experience, and parent or guardian contact information.

If you apply for financial aid, we may collect household and financial information needed to evaluate and administer the request. Access to this information is limited to individuals involved in reviewing or administering financial aid.

Youth program registrations may be submitted through Google Forms. Information entered into those forms is processed by Google and made available to FCS for program administration.

Pursuant to FCS registration materials, FCS may collect and use photographs, audio recordings, and video recordings of rehearsals, performances, and other activities for program, archival, educational, and promotional purposes.

Tickets and donations may be handled through third-party service providers. FCS has selected AudienceView as its ticketing and donation service provider. FCS may receive purchaser, donor, attendance, and transaction information needed to administer these services. Payment details entered with a provider are handled under that provider’s terms and privacy notice. Where a link takes you to another payment service, including PayPal, that service’s policies also apply.

Our website and its providers may also receive technical and usage information, such as your IP address, browser or device details, cookie identifiers, pages visited, referring pages, and interactions with website features.

How We Use Information

  • To respond to inquiries and administer performances, programs, auditions, registrations, tickets, and donations.
  • To communicate with participants and supporters, including service notices and promotional messages consistent with your choices and applicable law.
  • To operate, protect, troubleshoot, and improve the website and understand the effectiveness of our communications and advertising.
  • To maintain appropriate records, prevent misuse, and meet legal, accounting, and other applicable obligations.

Cookies, Analytics, and Marketing

We use cookies and similar technologies for website operation, security, analytics, and embedded content. FCS uses Google Analytics and may use the Meta Pixel for advertising measurement. Google Analytics and any Meta Pixel are treated as nonessential technologies and remain disabled until a visitor gives consent through the website’s cookie settings. Selecting Reject Nonessential Cookies, or making no selection, keeps these analytics and marketing technologies disabled.

When enabled with consent, Google Analytics helps us understand website visits and use. The Meta Pixel helps measure website visits and the effectiveness of FCS advertising. Meta may receive information such as page visits, IP address, browser details, and cookie or device identifiers, and may associate that information with activity on its services.

FCS does not use information submitted through youth program forms or payment card details for advertising or marketing tracking. Youth program forms may be provided through Google Forms, which receives the information entered into the form in order to provide that service to FCS. Service Providers and Sharing

We may share information with providers that support hosting, security, forms, communications, ticketing, donations, payments, analytics, advertising, and other website functions. Providers may process information for FCS and, where applicable, for purposes described in their own notices. Relevant provider policies include:

We may also disclose information when you authorize it, when required or permitted by law, or as reasonably necessary to protect rights and safety or handle an organizational transfer. We do not sell personal information for money. Advertising-related disclosures may be treated as sharing or targeted advertising under some laws; applicable choices and rights are described below. Providers may process information in countries other than your own.

Children and Youth Programs

FCS offers programs for children and youth. For participants under 13, a parent or legal guardian must submit the child’s information or provide authorization for its submission. For other minors, a parent or legal guardian should submit or supervise the submission of program information and provide any required permissions. We use that information to evaluate interest, place singers, communicate with families, and administer programs. Contact us if you have questions about a child’s information or believe it was submitted without appropriate authorization.

Retention and Security

Retention depends on the type of record, its purpose, our relationship with you, and applicable legal, accounting, security, or dispute-resolution requirements. There is no single retention period for all information. Records and backups may remain where retention is required or permitted by law. You may contact us about the information we hold and request its deletion.

We use reasonable administrative, technical, and organizational safeguards appropriate to the information involved. No website, transmission, or storage method is completely secure.

Your Choices and Requests

You can unsubscribe from promotional email using its unsubscribe link. Service messages related to a request, registration, purchase, or donation may still be sent. Browser and provider controls can help manage cookies and advertising preferences; see our Cookie Policy.

Email office@fairfaxchoralsociety.org with “Privacy Request” in the subject line to ask about your information or request access, correction, or deletion. Depending on applicable law, you may also have rights to receive a copy, restrict or object to processing, opt out of certain advertising-related sharing, or withdraw consent. We may need to verify your identity and authority, including for a child’s records. Some information may be retained where the law permits or requires it. Nothing in this Policy limits rights or complaint routes available under applicable law.

Third-Party Links and Changes

External websites and services have their own practices. Their policies govern their handling of information and do not replace this Policy for FCS’s handling of information. A provider link does not mean that every product it offers is enabled on this website.

We may revise this Policy as our services or practices change. Revisions will be identified by an updated date, with any additional notice required by applicable law.
